Setting up Google Calendar Appointments ๐Ÿ“†

Start HERE โฌ…๏ธ within your Structurely account settings and toggle "ON" the Google option listed under My Integrations:

A new pop-up window should appear, where you'll want to select the "Connect to Google" button to proceed. ๐Ÿ‘‡

This brings you to the account selection screen, where you can pick whichever Google Account is associated with your desired calendar.

This does NOT have to match the email address you registered with Structurely when you initially set up your account. โœ๏ธ


Review the requested permissions and select "Allow" if you agree to share the specified info with Structurely.


โš ๏ธ Update your Appointment Settings โš ๏ธ

Once your Google Calendar is integrated with Structurely, it is crucial to ensure that your Appointment Settings are up-to-date!

โฒ๏ธ First, you'll want to ensure that your appointment duration (the expected length of each appointment) is accurate:

๐Ÿ“† And MOST importantly, mark the days / times that you are open to appointments!

Selecting "All" on the left-hand panel will automatically mark all 7 days of the week as available (Can Schedule) at the selected time. ๐Ÿ‘‡

Please note that selecting "9 am" will open up all possible appointment times from 9:00:00 - 9:59:59 am, and so on throughout the day.

(The default preset timing should align with 8:00 am - 4:59 pm EST)

Your Structurely AI Assistant will never schedule same-day appointments, and will not offer timeslots that conflict with existing events on your synced Calendar. ๐Ÿ™Œ


FAQs

How do I know when an appointment has been booked?

The agent AND the lead will receive a confirmation email from Google when the event has been successfully added into their calendars. โœ‰๏ธ

Will my AI Assistant know to stop contacting the lead once an appointment is set in my Google Calendar?

Yep! After our appointment setting flow is initiated, your AI Assistant will stop asking qualification questions altogether as the end goal - booking an appointment - is already underway.

Does the AI Assistant actually work within my scheduled availability?

Yes, as long as you update your Appointment Settings and keep your Google Calendar up-to-date! Unfortunately our AI Assistant isn't a mind reader (yet) ๐Ÿ”ฎ

How many different appointment times will be offered based on my Calendar?

As many as are necessary! Our appointment setting flow will continue attempting to schedule in the lead based on your synced availability until they successfully book an event.

Can my AI Assistant handle rescheduling or cancelling appointments?

Any rescheduled or cancelled appointments must still be handled manually between the agent and the lead. ๐Ÿšง

How does this impact the Live Transfer feature?

If your lead is within the scheduling flow, live transfers will no longer be triggered; there is no other impact to how Live Transfers work aside from those conversations that have shifted to an ongoing attempt to book an appointment.

Are there other options for direct calendar integration besides Google?

Not at this time, although we are open to recommendations and special requests!


Integrating with Google Calendar vs. Calendy

Can I use the Google Calendar appointment setting process AND share my Calendly link too?

Our default scripts will utilize the Calendly link integration where possible if a scheduling link is on file within your Structurely account settings.

That being said, we are looking to expand this in the near future by permitting conversational appointment-setting whenever a lead explicitly requests an appointment (outside of the normal conversational flow at the end of the qualification process).

If I'm already using Calendly in Structurely, should I switch to AI appointments?

Not necessarily. Depending on your specific Calendly workflows, it still may make sense to use Calendly over AI appointments.

โš ๏ธ Here's when you should choose to use Calendly over Google Calendar based appointments:

  • If you have automated lead routing in Calendly (direct appointments don't support automated lead routing)

  • If you have multiple calendars (Structurely only integrates with one primary calendar application)

Does the new Appointment-Setting feature support a Calendly integration at all?

Yes, in part. If you're a Google Calendar user and you have your Google Calendar integrated with both Structurely and Calendly, when Structurely serves up your Calendly link to a lead in conversation, and they book a time, Structurely will automatically not allow that time to be booked any more.

As of right now, Structurely is not yet aware that lead booked a time... more to come on that, though! ๐Ÿš€

Why would I switch to Google Calendar Appointments over Calendly?

AI appointments booked by your AI Assistant allow leads to request dates/times in natural, conversational terms, at their convenience.

In comparison, Calendly places the burden on the lead to initiate action and schedule themselves in; while also not enforcing that they do so.

Asking for the leads' availability (possibly over and over until we successfully book a time) ensures that the appointment has the best chance of being scheduled in using a convenient and simple method with no additional links or loading required.
